Owner & manager resources

A building installation checklist, from first walk to handoff

A shared brief helps an owner, manager, installer, and other trades work toward the same result. Use these checkpoints for an existing building, a renovation, or a new space. Leave unknowns marked as questions for the site review.

The starting point

Name an owner for every open decision: access, cable routes, finishes, accounts, testing, and support. Keep the final answers with the building records.

Before the site visit

Start with what should improve. Describe the problem in everyday terms, then mark the affected rooms, entrances, floors, and exterior areas on a plan. Include the person who can answer building questions and the person who can approve the work.

  • Identify building type, project stage, and the systems you want to discuss.
  • Collect available plans and photos of equipment, mounting areas, and visible model labels.
  • Ask management for its work rules, access process, and contractor documentation requirements.
  • Identify locked service rooms, occupied spaces, and any scheduling constraints.
  • Record must-have outcomes separately from future options.

During the site review

Follow each proposed connection from the device to its equipment location. Ask what can be inspected now, what requires further investigation, and who will resolve each unknown. If a route crosses a finished or shared space, include that in the discussion before the scope is finalized.

  • Mark proposed device positions and confirm access for installation and future service.
  • Identify existing cable types and the testing needed before reusing them.
  • Review power, network equipment, mounting surfaces, and equipment storage.
  • For doors, coordinate existing hardware and exit behavior with the relevant professionals.
  • Assign any work needed from building staff or other trades.

Before approving the scope

Make sure the written proposal reflects the site discussion. Include who restores disturbed finishes and how changes will be documented and approved. Record any assumptions that still depend on inspection.

For a camera system, agree on the recording and retention goal as well as who may view, export, and administer recordings. Product settings matter: UniFi Protect, for example, supports retention and recording adjustments that change storage use. Ask the installer to document the settings selected for your system.

  • Confirm included equipment, reused parts, and responsibilities for related work.
  • Agree on the installation window and planned service interruptions.
  • Choose the authorized account owner and day-to-day administrator.
  • Write down the functional tests and documentation expected at handoff.

On installation day

Make the agreed areas accessible and designate a contact for questions. Share building notices with the people affected. Keep a short decision log if an unexpected site condition requires a change to the approved plan.

  • Confirm the work area, service-room access, and building contact.
  • Review any planned interruption to entry, connectivity, or existing systems.
  • Confirm protection of work areas and the agreed cleanup responsibilities.
  • Have changes approved before proceeding with work outside the agreed scope.

At handoff and afterward

Test the tasks people will actually perform. View the agreed camera scenes, place an intercom call, demonstrate the supported entry methods, use Wi-Fi in the agreed areas, or run the selected room controls. Record what passed and what still needs attention.

  • Receive the equipment inventory, cable labels, and updated layout or connection records.
  • Confirm account ownership, administrator access, and recovery arrangements.
  • Practice everyday controls and the agreed procedure for an interruption.
  • Collect support contacts, warranty information, and maintenance responsibilities.
  • List outstanding items with an owner and an agreed next step.
